Policies & Procedures
Our policies are designed to support a safe, respectful, and efficient experience for every client.
Important Information for Clients
Please review the policies below before your appointment. These guidelines help our office provide consistent care, protect client privacy, and keep scheduling and billing as clear as possible.
π Appointment Arrival
Please arrive approximately 15 minutes before your scheduled appointment to complete any necessary paperwork or updates. Arriving on time allows your provider to use the full session to address your needs.
π Cancellation & No-Show Policy
Please notify our office as soon as possible if you need to cancel or reschedule. Missed appointments or late cancellations may affect future scheduling and may be subject to applicable fees.
π³ Payment Policy
Copayments are due at the time of your visit. Deductibles, coinsurance, self-pay fees, and outstanding patient balances are also due at the time of service unless other arrangements have been approved.
π¨ Crisis & Emergency Services
Olive Branch Behavioral Health Counseling is not a crisis or emergency facility. If you are experiencing a medical or mental health emergency, call 911, go to the nearest emergency room, or call or text 988.
π Confidentiality
Your privacy is important to us. Information shared during counseling is kept confidential except when disclosure is required or permitted by law, including situations involving safety concerns or legal obligations.
π» Telehealth Appointments
For telehealth appointments, please use a private and quiet location, maintain a reliable internet connection, and be available at your scheduled appointment time.
π§οΈ Inclement Weather
During severe weather or other conditions that make travel unsafe, Olive Branch may offer a telehealth appointment instead of an in-office visit when clinically appropriate.
βοΈ Communication
Email and text messaging are intended for scheduling, reminders, and general office questions only. Do not send urgent, emergency, or highly sensitive clinical information through ordinary email or text message.
π§Ύ Insurance & Billing
Insurance benefits are verified as a courtesy. Coverage, deductibles, copayments, coinsurance, authorizations, and non-covered services remain the client’s responsibility.
βΏ Accessibility
If you need accommodations because of a disability, please contact our office before your appointment so we can make reasonable arrangements to support your visit.
